The terms Objective Time and Subjective Time, usually mean very little to most people.

No wonder.

Yet, they represent a distinction that we experience almost every day. If you’ve ever sat in the dentist’s chair, or in front of an exam paper, and marveled at how long it takes an hour to pass by, then you’ve experienced subjective time.

The same goes for time that “flies by”. The clock might say that a game only lasted an hour, but according to your perception of time, it only just started ten minutes ago.

This difference between Objective Time and Subjective Time, is the principal at the heart of Time Management, a system of priority and achievement, that uses psychology to help busy people get things done.

Help! I am Running Out of Time

The process of time management refers to actively taking control over the amount of time devoted to particular activities. It is a method commonly used within workplaces to assess and evaluate efficiency. Time management tools are designed to help you maximize your resources.

However, it can also be employed to prioritize, order and streamline life outside of work. Especially when it comes to striking a healthy work-life balance.

If you’re willing to accept that you have limited time and that not all tasks are created equal, then you are ready to move on and become efficient.

Wait! What Can I do to Get More Time?

You are much more likely to live your life efficiently if you have a good idea about where it is heading.

Solid time management skills are primarily concerned with smaller goals and tasks. Things like answering urgent emails, taking the dog to the vet, etc. The hundreds of little objectives that make up a typical day, are bound to get easier to order if you know which ones are most likely to keep you moving in the right direction.

So, think about where you want to be next. Write down three big goals on a piece of paper, and pin it to your office wall or your fridge door.

The decision to draw up a list of tasks might sound like a simple one. But you’d be surprised at how few people take advantage of list making in their day to day lives. Make sure that your tasks are 100% clear.

This is the age of the ‘super worker’ — the ability to balance a hectic work life and private life is presumed to be innate.

If you can’t keep up, you must be bad at your job or not dedicated enough.

This, of course, is untrue. And there is no need to memorize thirty different tasks, memos or responsibilities when you can just write them down.

What if I Just Can’t Seem to be Able to Manage My Schedule?

The beauty of keeping a regular schedule is that it provides you with a visual representation of your day. At dapulse, we learned that effective time management requires planning of your tasks, and understanding the big picture in a glance.

It is difficult to spontaneously plan a whole day in the morning and stick to it, precisely because of the concept outlined above. The inconsistency between subjective time and objective time makes it hard to prioritize it while you are actively participating in it.

For example, you might presume, in the morning, that fifteen minutes are enough time to drop an envelope at the post office on your way to work.

However, the clock is likely to move quickly if you are relaxed and enjoy your favorite songs in your car, and you’ll probably exceed your given time-frame. With a schedule, you can make tweaks and changes to your daily life, based on these experiences.

So, you could take the thirty minutes that you usually end up spending drinking coffee and, because you are now aware of your propensity to dawdle, either get up earlier to enjoy this time in full or find a way to combine it with a second task.

Alternatively, if drinking your coffee leisurely is likely to motivate you to work harder later on, it could be worth making time for it on your schedule by removing a non-urgent task.

The key to successfully sticking to your schedule is personalization. This is not about what you should or should not be doing, but what works best for you.

If hunger causes you to get distracted and prevents you from getting work done, make time in your schedule for some brief but regular food breaks. It is best to think of each day as a mini-narrative; structure and arrange it around your individual needs.

So How Will I Know Which Tasks to Move Around?

With Facebook, Twitter and a whole host of distractions at our fingertips, is it any wonder that internet-based passive procrastination takes up a tremendous amount of office time?

It can seem a little childish, as an adult, to have to tell yourself  you cannot check your notifications or post a status. But subjective time (that old chestnut) means that we often end up spending much longer on these things than we realize.

It is rarely just the few minutes you promised yourself it would be. And this goes for all kinds of distractions — even staring out of an office window can sometimes seem preferable to knuckling down — but with the help of a time log, you can quickly identify these patterns of distraction and replace them with something more valuable.

To create a time log, spend a week recording your activities at each thirty-minute chunk of the day. It is going to feel a little fussy and over meticulous at first. But at the end of the week, you should have an (honest) depiction of how you spend your timeand how much of it is being wasted on distraction and procrastination.

Do you see that thirty-minute chunk spent playing Angry Birds? You need to pick it up and move it out of your work day and into your private time (or you could do it while you’re commuting for example). Now move some non-urgent tasks or duties aroundto fit it in, if you feel like it is necessary.

Can Better Time Management Improve Performance?

The main reason why time management is so effective for improving performance is because it does not have to delineate between ‘good’ and ‘bad’ or ‘allowed’ and ‘not allowed.’

It is up to you to decide how you spend your time. And there should absolutely be room for healthy distractions and treats. Especially if they end up motivating you or keeping you mentally nourished. But they need to fit into the right place.

Your day is like a jigsaw puzzle with too many pieces. It is your job to decide which pieces are the most important and which can be discarded.

It is your responsibility to put the puzzle together in a way that generates the maximum value for you.
